Press Prospects is a service of Internet Physics, Inc.
Who we are
This policy explains how Press Prospects, a service of Internet Physics, Inc., a Delaware corporation (Delaware file number 10348328), collects and uses personal information. "We" means Internet Physics, Inc. acting under the name Press Prospects.
What we collect and where it comes from
People we contact
We collect only business contact information: a person's name, job title, business email address and the company they work for. We contact people only in their business role. Every email we send names Press Prospects as the sender, gives our postal address and lets you opt out.
We find the owners and presidents of US commercial printers through the PRINTING United Alliance Membership Directory and, as backups, Printing Impressions' ranked list of the 300 largest printers and PIA MidAmerica's regional membership guide. We check each printer's size from public company profiles and find its owner's or president's business email on public pages or through an email-finding and verification service.
The free trigger list
The free trigger list uses the printer's public website and address, and public news, press releases, local business journals, company websites, trade-show exhibitor lists and job posts about other companies in its area. It names the role most likely to order print at each listed company, marked as named on a public page or inferred, not a person; a public announcement it links to, such as the hiring of a new marketing director, may name that person. It uses nothing the printer has not published.
Customers
A customer gives us its line (the services, minimum job and area we search); its authorisation, accepted by email reply, to register sending domains and mailboxes in its name; its rep's name, signature and inbox address; its postal address for the emails we send in its name; and its approval of the email template. We do not access its CRM, accounting or order records, or its main email domain.
Emails and our website
We keep the emails people send to hello@pressprospects.com and our replies, because they are the record of what we agreed.
Our website has two short forms. The request form asks for your work email and your company's website, so that we can send you what the page offers. The order form asks for your name, your work email and your company's name (and your title where an order is signed), so that we can confirm and carry out your order. Each submission reaches our mailbox as an email with the date; we keep no other copy. We use a request only to email you about that offer, send what the page offers and keep a record of the request, and keep it as we keep business contact information about people we have contacted; an opt-out puts your address on our do-not-contact list. We keep an order as we keep other customer records.
Our website at https://pressprospects.com is a set of static pages. It has no login and no advertising trackers, and it sets no cookies of its own. It counts visits with analytics we run ourselves (Umami, on our own server, shared with no one), which record the pages viewed, the page that linked here, the browser, device type and language, an approximate location worked out from the IP address (which is not kept) and actions on the page such as using the calculator, including the figures entered in it rounded to two significant figures; they never record what anyone types into a form. Its only forms are the request and order forms described above. The provider that serves it may log technical data, such as IP addresses, to keep it running and secure.
Information we handle for customers
When we work for a customer, the personal information we handle on its behalf belongs to the customer. We use it only to do the work the customer ordered and as the customer instructs. We do not sell it or use it for anything else, and we delete it within 90 days after the work ends unless the customer asks us to return it first.
For a customer of the trigger-email programme, this is information about the people its emails go to: the name, job title and verified business email of the person in the role that orders print at each triggered company, found on public company pages; the replies those people send to the customer's sending mailboxes; and the shared suppression list of people who opted out. We use it only to send one trigger-specific email and one follow-up per prospect under the customer's rep's name, to forward each quote, meeting or information request to the rep, and to keep the shared log the customer sees. We never sell it, never use it for another customer, and never email anyone on the suppression list.
How we use information
We use personal information to decide whom to contact and to write to them about Press Prospects; to prepare the free trigger list and do ordered work; to answer emails and keep records of what was agreed, including consents to automatic renewal; to honour opt-outs and the requests this policy describes; and to meet legal obligations. We do not sell personal information, share it for cross-context behavioural advertising, or use it to make decisions that have legal or similarly significant effects on a person.
Who we share it with
We share personal information only with service providers that process it for us (our email provider, our email sending tool, our domain and web hosting providers, and the software providers we use to read and write our emails and prepare our work); with a customer, when the information concerns that customer's own work; and where the law requires it. We do not sell or rent it.
For the trigger-email programme we also use a contact-data and email verification service to verify business emails, a domain registrar and email provider to register and run the sending domains and mailboxes in the customer's name, and the service that hosts the shared log the customer sees.
How long we keep it
We keep business contact information about people we have contacted for up to 24 months after we last contacted them, and then delete it. We keep customer records and emails for as long as the customer relationship lasts and for 3 years after it ends, so that we can show what was agreed. If you opt out or ask us to delete your information, we keep only your email address and the date on our do-not-contact list, so that we never contact you again.
Your choices and rights
Opting out. Reply "unsubscribe" to any email from us and we will not email you about Press Prospects again. We act on opt-outs within 2 business days.
Access, correction and deletion. Anyone may ask us what personal information we hold about them, ask us to correct it, or ask us to delete it, by emailing hello@pressprospects.com with the subject "Access", "Correct" or "Delete" from the address concerned. We reply by email within 30 days. When we delete, we remove the information from our mailbox, our sending tool and our files within 30 days and confirm by email, keeping only the do-not-contact entry described above. We do not treat anyone differently for using these rights.
Security
We store personal information only with the kinds of service providers this policy names and in our own files, and we give access only to the providers that need it for the purposes above. No method of storing or sending information is completely secure.
Children
Press Prospects serves businesses. We do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this policy by publishing a new version on this page with a new effective date. If a change affects how we use information we already hold about our customers, we email them before it applies.
